Google Ads search terms and negative keywords: a practical control system

The Google Ads search terms report shows the queries that triggered ads and received sufficient activity to be reported. Use it to identify relevant demand, irrelevant intent, new keyword themes, ad-message gaps and landing-page needs. Add negative keywords only when the excluded meaning is commercially unsuitable, and account for the fact that negative matching behaves differently from positive keyword matching.

Answer in brief

The points worth carrying forward.

Validate demand, exclusions, ads, landing pages and tracking.

  • 01A keyword is the targeting input; a search term is the customer's actual reported query.
  • 02Classify intent before excluding a phrase that merely looks unusual.
  • 03Use shared lists for universal exclusions and campaign-level control for local context.
  • 04Pair query cost with qualified conversions, lead quality and landing-page relevance.

Section / 01

Keyword, search term and search category are different

Google notes that some low-volume queries are omitted from the search terms report for privacy and may appear only in aggregated insights. Do not assume the visible report represents every query or that category labels are literal search terms.

Section / 02

A repeatable search-term review workflow

  1. 01

    Select a meaningful period

Account for sales lag, seasonality, budget changes and conversion delay.

  2. 02

    Add diagnostic columns

Review keyword, match type, campaign, cost, conversions, value and relevant segments.

  3. 03

    Classify the intent

Label relevant, research, adjacent, competitor, existing customer, employment, support, free or irrelevant demand.

  4. 04

    Inspect the destination

Check whether the ad and landing page answer the query's actual task.

  5. 05

    Choose the action

Add, exclude, regroup, rewrite, change destination, adjust bid or gather more evidence.

  6. 06

    Record the reason

Maintain a decision log so repeated exclusions and reversals remain understandable.

Section / 03

Build negative keywords around meaning, not panic

  • Use account or shared lists for universally unsuitable meanings.
  • Use campaign or ad-group exclusions when relevance depends on the specific offer.
  • Check phrase, exact and broad negative behaviour before applying at scale.
  • Review plural, synonym and semantic gaps because negative keywords do not behave like positive close variants.
  • Protect valid research terms when content or remarketing supports a longer decision journey.

Section / 05

Connect search terms to ads and landing pages

The report is a customer-language research source. Use relevant query themes to improve ad specificity, clarify offer conditions and select a destination that fulfils the expected task. Google says search-term evidence can reveal ideas for creative and landing-page content.

Read the deeper explanation

Quality Score is diagnostic, not the commercial objective. Google identifies expected CTR, ad relevance and landing-page experience as diagnostic components, while the business should still optimise for qualified outcomes and sustainable economics.

  • Query-to-ad relevance
  • Offer and condition clarity
  • Ad-to-page message match
  • Mobile task completion
  • Conversion and lead-quality feedback

Section / 06

Set review cadence by risk and spend

Review new launches and fast-spending campaigns more frequently, then move toward a stable operating rhythm as patterns and exclusions mature. Large lists are not proof of control; they can hide overblocking and maintenance debt.

Read the deeper explanation

Track cost removed, qualified demand added, new page or creative insights and false-positive exclusions. Revisit lists after offer, geography, campaign type or customer-language changes.

Questions answered

Frequently asked questions.

01What is the Google Ads search terms report?

It reports searches with sufficient activity that triggered ads, alongside performance data. It supports query, keyword, match-type, creative and landing-page decisions.

02What is the difference between a keyword and a search term?

A keyword is an advertiser's targeting input. A search term is the reported query a person entered that matched campaign eligibility.

03What are negative keywords?

They are exclusions used to prevent ads from serving for unsuitable terms. Their match behaviour differs from positive keywords and must be scoped carefully.

04How often should search terms be reviewed?

Base cadence on spend, query volume, campaign maturity, business risk and sales lag. New or unstable campaigns usually need more frequent inspection.

05Why can I not see every search term?

Google omits some queries from the report under data-privacy thresholds and may aggregate lower-volume demand within search-term insights.
